The Simple Record-Keeping System That Saves Ugandan Poultry Farmers Thousands
Here is a question most poultry farmers cannot answer: did your birds make you money last month? Not "did you sell eggs" — everyone sells eggs. Did the money coming in beat the money going out? If you hesitated, you are in the majority. And it is costing you more than any disease ever will.
On our farm we learned this the hard way. Our first year, we worked hard, sold eggs daily, and still ended the year wondering where the money went. The fix was not working harder. It was a notebook and five minutes a day.
Why "Mental Records" Always Fail
Feed is bought in bags, eggs sold in trays, medicine in bottles, chicks in batches. Your brain cannot multiply 3 bags × UGX 120,000 against 19 trays × UGX 9,000 while subtracting the vet visit and the two birds that died. Nobody's can. What the brain does instead is guess — and the guess is always optimistic. Records replace the guess with the truth.
The Only 5 Numbers You Must Write Down Daily

That is it. Five lines a day. At the end of the month, add up income, add up expenses, subtract. Now you know your profit — and more importantly, you can see trends: eggs dropping but feed constant means sick birds or theft; feed cost rising faster than egg income means it is time to change suppliers or adjust prices.
The Weekly Numbers That Matter
- Laying rate % = eggs collected ÷ number of layers × 100. Good layers: 80%+. Below 60%, investigate feed, water, disease or age.
- Feed cost per tray = weekly feed cost ÷ trays sold that week. If a tray sells at UGX 9,000 but costs UGX 8,200 to produce, your "business" is a donation.
- Mortality rate = deaths ÷ flock size per month. Above 5% monthly means your vaccination or brooding has a hole.

There is a second reward: the day you need a loan to expand — from a SACCO, a microfinance, or a government program — the first thing they ask is "show us your books." Six months of clean daily records is the difference between "come back later" and "how much do you need?" Your notebook is your collateral.
